1. Scope of this policy

This Privacy Policy applies to personal information collected by FZ Velmora LLC (“FZ Velmora,” “we,” “us,” or “our”) through our website at fzvelmora.com (the “Site”) and in the course of providing digital advertising and media buying services to our clients (the “Services”).

It does not apply to the websites, applications, or advertising platforms of third parties, including the advertising platforms on which client campaigns may run. Those parties have their own privacy practices, which we encourage you to review.

When we provide Services to a client, we may process personal information on that client’s behalf and under the client’s instructions. In those situations the client’s privacy policy governs how that information is collected and used, and this policy describes our own practices only.

2. Information we collect

Information you provide to us

When you contact us through the Site, by phone, or by other means, we collect the information you choose to share. Our contact form asks for:

  • Full name
  • Business email address
  • Company name
  • Website address (optional)
  • Monthly advertising budget range
  • Primary advertising platform
  • The content of your message

Contact form submissions are stored in the Site’s content management system, where they are accessible only to authorized administrators, and are used solely to respond to your inquiry.

If we enter into a business relationship, we may also collect information necessary to deliver the Services, such as contact details for your team, billing information, and access to advertising accounts, analytics tools, or other systems that you authorize us to use.

Information collected automatically

Like most websites, our hosting infrastructure may automatically record technical information when you visit the Site, such as your IP address, browser type and version, operating system, referring website, the pages you view, and the date and time of your visit. This information is used for security, troubleshooting, and understanding how the Site is used in aggregate.

Details of any cookies or similar technologies used on the Site are set out in our Cookie Policy.

Information from other sources

In the course of preparing for or delivering Services, we may review publicly available information about your business, such as your website or public social media presence, to understand your market and advertising context.

3. How we use information

We use the information we collect to:

  • Respond to your inquiries and communicate with you about our Services;
  • Evaluate whether and how we can assist your business;
  • Provide, manage, and improve the Services, including planning, managing, and reporting on advertising campaigns for clients;
  • Prepare proposals, agreements, and invoices, and manage our business relationship with you;
  • Operate, secure, maintain, and improve the Site;
  • Detect, prevent, and address fraud, abuse, spam, and security incidents;
  • Comply with legal obligations and enforce our agreements and policies.

We do not use the personal information submitted through our contact form for purposes unrelated to your inquiry or our business relationship without your consent.

4. Legal bases for processing

Where data protection laws such as the EU or UK General Data Protection Regulation apply to our processing, we rely on the following legal bases:

  • Performance of a contract or taking steps at your request before entering into one, such as responding to an inquiry about our Services;
  • Legitimate interests, such as operating and securing the Site, communicating with business contacts, and improving our Services, provided those interests are not overridden by your rights;
  • Consent, where you have given it, for example by agreeing to be contacted through our form. You may withdraw consent at any time;
  • Legal obligation, where processing is necessary to comply with applicable law.

5. How we share information

We do not sell personal information. We may share information in the following circumstances:

  • Service providers. We use third-party providers to host the Site and its content management system, deliver the Site’s typefaces (Google Fonts, which receives your IP address when font files are requested), provide email and communication tools, and support our business operations. These providers may process personal information only as necessary to provide their services to us.
  • Advertising and analytics platforms used for client Services. When delivering Services, we operate within advertising and analytics platforms selected by or agreed with the client. Information processed on those platforms is subject to their terms and privacy policies and to the client’s own arrangements with them.
  • Legal and safety. We may disclose information where required by law, regulation, legal process, or governmental request, or where we believe disclosure is necessary to protect our rights, property, or safety or that of others.
  • Business transfers. If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, personal information may be transferred as part of that transaction, subject to this policy.
  • With your direction or consent.

6. Cookies and similar technologies

Our use of cookies and similar technologies on the Site is described in our Cookie Policy, which forms part of this Privacy Policy. The Cookie Policy explains which categories of technologies are in use and how you can manage your preferences.

7. Data retention

We retain personal information for as long as necessary to fulfil the purposes described in this policy, unless a longer retention period is required or permitted by law. In general:

  • Contact form inquiries are retained for as long as reasonably needed to respond to and follow up on the inquiry;
  • Information relating to a client relationship is retained for the duration of the relationship and afterwards for as long as needed to meet legal, accounting, tax, and contractual obligations;
  • Technical log data is retained for limited periods for security and operational purposes.

When personal information is no longer needed, we delete it or render it anonymous.

8. Security

We implement reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, or destruction. These measures include limiting access to information to those who need it and using reputable service providers. No method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

9. International visitors and transfers

FZ Velmora is located in the United States, and the Site is hosted and operated from the United States or by service providers that may operate in other countries. If you access the Site or contact us from outside the United States, your information will be transferred to, stored, and processed in the United States and possibly other jurisdictions, where data protection laws may differ from those in your country. Where required by applicable law, we take appropriate steps to protect personal information transferred internationally.

10. Your privacy rights

Depending on where you live, you may have rights in relation to your personal information, which may include the right to:

  • Request access to the personal information we hold about you;
  • Request that inaccurate or incomplete information be corrected;
  • Request deletion of your personal information;
  • Object to, or request restriction of, certain processing;
  • Request a copy of your information in a portable format;
  • Withdraw consent where processing is based on consent;
  • Lodge a complaint with a supervisory authority or regulator.

To exercise any of these rights, please contact us using the details in the “How to contact us” section below. We may need to verify your identity before acting on a request. We will respond within the time required by applicable law and will not discriminate against you for exercising your rights.

California residents

If you are a California resident, the California Consumer Privacy Act, as amended, may provide you with rights to know, delete, and correct personal information, and to opt out of the sale or sharing of personal information. We do not sell personal information, and we do not share personal information collected through the Site for cross-context behavioral advertising. You may exercise your rights by contacting us as described below.

11. Children’s privacy

The Site and the Services are intended for businesses and are not directed to children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us with personal information, please contact us so that we can delete it.

12. Third-party websites and platforms

The Site may contain links to third-party websites. In delivering the Services we also work within third-party advertising, analytics, and measurement platforms. We are not responsible for the privacy practices or content of those third parties, and this policy does not apply to them.

13. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we do, we will revise the effective date at the top of this page. Continued use of the Site after an update constitutes acceptance of the revised policy, to the extent permitted by law.
